When will the final schedule and assignments be posted?

When will my paper be visible in IEEE Xplore?

  • Only full contributed papers will be published in IEEE Xplore after the paper has been presented by the corresponding author at the conference. Full contributed papers that meet the requirements for publication will be visible in IEEE Xplore approximately 90 days after the conference. 

Conference Proceedings are indexed in PubMed Central (PMC) but require access to IEEEXplore. EMBC 2021 Open Access papers will be immediately available online once transferred to PMC.

When will I get access to the virtual platform?

  • Applicable speakers/presenters will be given access to the virtual platform (Cadmium) speaker portal in September. All attendees will get access to the LIVE event virtual platform (hosted on Cadmium) the week of October 25. Conference workshops will take place on Saturday, October 30. The LIVE virtual conference will take place Monday, November 1 – Friday, November 5.

My full contributed 4-page paper was accepted and scheduled as a 10-minute video presentation, now what?

All corresponding Authors received an official invitation to join our virtual platform (Cadmium) in mid-September. On this website speakers/authors can update your speaker profile, or any related materials to your video presentation.

Only registered speakers/authors will have access to the virtual platform. If you are not yet registered, please do so here. You may continue to upload your speaker profile, but will NOT have access to the virtual platform during the live conference if you are not registered.

How will they be presented?

Accepted full contributed papers will be pre-recorded and available on-demand throughout the entirety of the conference.

Corresponding authors for each paper will be required to upload a 10-minute video presentation to be displayed in the virtual platform. This person will receive additional communication on acquainting themselves within the virtual platform speaker portal.

IMPORTANT: If the Corresponding Author is unable to attend or present, a co-author may present in their absence. Click here for more information about author policies & guidelines.

Please complete the Substitution Form to confirm the alternate presenter’s information as soon as possible.

As all videos will be pre-recorded, there will be no live Q&A.

Can I start preparing for my session now?

Yes! We encourage that you begin to work on your presentation slides, scripting, or any other materials you wish to utilize in your presentation.  Again, please keep in mind your presentation will be limited to 10 minutes. Additionally, you will see an option to upload your presentation information and/or slides within the speaker portal. Uploading this additional information is OPTIONAL.

Please finalize all tasks within the virtual platform speaker portal by Friday, October 8.

When is my recording due?

All 10 minute videos must be uploaded by end of day Friday, October 8.

What are the size requirements for the video recording?

The mp4 video file cannot exceed 2GB. The aspect ratio (ratio of width to height) should ideally be set to ’16:9′. All videos must be uploaded in an mp4 file.

I’m presenting a Mini-Symposia, now what?

Organizers will receive an official invitation to join our virtual platform in late September, where you can update your speaker profile, or any related materials to your session.

Only registered speakers/authors will have access to the virtual platform. If you are not yet registered, please do so here. You may continue to upload your speaker profile, but will NOT have access to the virtual platform during the live conference if you are not registered.

How will the mini-symposia presentations be presented?

Mini-symposia presentations will either have a pre-recorded video and live portion OR just pre-recorded video. If your session has a live portion, there will be a LIVE Q&A session within the conference schedule. If there is not a LIVE Q&A session on the conference schedule, your session is pre-record only.   If you are unsure if you have a live portion, please email EMBCVirtual@Smithbucklin.com.

The organizer is responsible for coordinating with the other authors in the session to collect their video recordings OR schedule a time to record one presentation video together. One video file must be uploaded into the virtual platform and IEEE/EMBS Staff is not responsible for any editing of your final submitted video.

It is up to the organizer of your mini-symposia to define the length of time that you will be able to present, as there are additional papers assigned to the mini-symposia. Each presentation will be pre-recorded and the organizer will combine into one mp4 file for upload into the virtual platform. Please contact your mini-symposia organizer if you have any additional questions about the specific time you will be presenting.

My Mini-Symposia has a live portion, what should I know?

If your session has a live portion, there will be a LIVE Q&A session within the conference schedule. If there is not a LIVE Q&A session on the conference schedule, your session is pre-record only.

The organizer and any other participating presenters should come prepared to ask questions and lead the discussion. The organizer(s) will serve as the moderator for the LIVE presentation.

The LIVE Q&A will be hosted on the virtual platform. The attendees will be able to see and hear the LIVE panel but the presenters will not see the attendees. The attendees will communicate with the panel through the chat feature, and by submitting questions through the Q&A feature.

Your session may not exceed the allotted time within the schedule. To see your live presentation time, view the full schedule of events here.

I am an overall keynote speaker, plenary keynote, theme keynote, or trending keynote speaker now what?

Keynote speakers received an official invitation to join our virtual platform in late September, where you can update your speaker profile, or any related materials to your session.

As all keynotes will be presented LIVE and no pre-recording is needed.

Only registered speakers/authors will have access to the virtual platform. If you are not yet registered, please do so here. Specific registration instructions for all keynotes were sent in late September. Contact EMBCReg@Smithbucklin.com if you need your invited guest instructions re-sent to you.

How will the keynotes be presented?

All keynote sessions will be presented LIVE, hosted on the Cadmium virtual platform. The attendees will be able to see and hear the LIVE presentation but the presenters will not see the attendees. The attendees will communicate with the keynote through the chat feature, and by submitting questions through the Q&A feature.

Each keynote will have an assigned moderator to assist with the moderating of Q&A and responding to the chat (if able).

Will keynotes be recorded?

Yes, keynote sessions will be recorded and available on the virtual platform within 3-5 business days.
