Welcome to the Registration page for the IEEE EMBC 2026 to be held at the Metropolitan Toronto Convention Centre, Canada. We are sure you will be delighted with the Scientific Program and an exciting array of social events. Early bird registrations are now available and will only apply to delegates who register and pay in full before 31 May 2026.

  • To be eligible for the early bird rates, registrations must be submitted AND fully paid by the stipulated early bird deadline. Registrations with outstanding balances after this date will be updated to the applicable standard and late rates.
  • Low/Lower Income Country rates apply only to individuals from countries classified under the IEEE Membership Countries listing. To be eligible, individuals must be currently living and/or working in one of these listed countries.
  • Student rates are only applicable to individuals who will be full-time undergraduate or postgraduate students at the time of the Conference commencement in July 2026. Proof of student status will need to be provided at the time of registration. Without this, the relevant delegate rates will apply.
  • Invitation Letter: If you require an invitation letter, you must first complete your conference registration and payment. Once registered, you can request an invitation letter via the “Invitation Letter for Registered Attendee” section in the registration form.   • To be eligible for IEEE or EMBS member rates, a valid membership number is required at the time of registration and may be subject to verification.

Registration Terms and Conditions

  • Full Registration entitles delegates to the following:

    • Access to all program sessions
    • AM/PM Coffee Breaks
    • 1 x ticket to the Welcome Reception
    • Access to the mobile app containing official event information

    Single-day registration entitles delegates to the following:

    • Access to all program sessions on your nominated day
    • AM/PM Coffee Breaks on your nominated day
    • Does not include tickets to the social functions
    • Access to the mobile app containing official event information

    To be entitled to the early-bird registration fee, you must have registered and paid by 1 June 2026; otherwise, you will automatically be moved to the standard registration rate, where higher fees will then apply.

    Student Member Registrations: To qualify for the EMBS Undergraduate IEEE Member rate, you will need to upload a photo of your student ID and provide your EMBS member ID when completing the Registration form.

    Author Policy:

    • Author Admission: At least one author MUST REGISTER for the conference at the Author Full Conference rate by 15 May 2026. Failure to register by the deadline will result in the removal of the paper from the Technical Program.
    • Each accepted paper must be supported by a Full Author Registration. One (1) Full Registration covers up to two (2) accepted full or one-page papers.
    • Please note that student registration rates (undergraduate and graduate) do not cover paper submissions. To be included in the Technical Program, each paper must have at least one associated Full Registration.
  • Your completed registration and successful payment will be acknowledged via email with confirmation of your requirements according to your registration form. Your registration will only be processed or confirmed once payment has been made. Please contact us if you do not receive your confirmation as this may affect future communications from us.

    All promotional registrations must be paid in full by the close date to secure the discounted rates.

    Name badge

    Each delegate will receive a name badge when they check in at the registration desk. The badge will be your official pass to obtain entry to all sessions and social functions. You are responsible for always having your badge clearly visible to obtain entry to sessions and social functions while onsite.

  • Credit Card

    Credit Card is the preferred method of payment.
    Accepted credit cards: MasterCard, Visa, and American Express.
    An administration fee applies for all credit card transactions: 3% for American Express, and 2.2% for Visa and MasterCard.
    Please note all transactions will appear on your statement as ‘Conference by Arinex’.
    We offer SSL (Secure Socket Layer) technology & 2048 bit data encryption to protect your personal information and credit card details.

  • Cancellations must be notified in writing to the Registration team at [email protected]

    All registration fees for a paper are non-refundable. For registration fees not covering a paper, a full refund (minus a USD 50 processing fee) will be issued if requested before the 6 July 2026. Requests after this will not receive a refund.

  • This information is correct at the time of publishing. The Conference Managers reserve the right to delete, modify or alter items or to delete, modify or alter any aspect of the conference timetabling and delivery at their sole discretion and without notice. Neither the host organisation(s) nor the Conference Managers will accept any liability for any loss or inconvenience caused to any party consequent to such changes.

    Recordings/Copyright
    The Conference Managers reserve the right to use any recordings whether audio or video and/or any photographs taken at any stage during the meeting for promotional, advertising or reporting of the meeting and/or its content at their sole discretion.

  • The Organiser and Host/s of EMBC 2026 (the “Event”) reserve the right to remove from the venue/Event at any time any attendee deemed to be causing, or potentially causing, a disturbance or exhibiting disruptive or inappropriate behaviour. Such removal does not constitute a right to refund of any fees paid. Please view the Code of Conduct here, which all attendees are expected to comply with.

  • At IEEE, we respect your privacy. We want to ensure that you get the information, content, and experiences that matter most to you. IEEE is committed to protecting the privacy of its members, customers, volunteers, and other contacts.

    Scope

    This privacy policy applies to all personal data processed by full-time and part-time employees, volunteers when acting on behalf of IEEE, contractors and partners doing business on behalf of IEEE, as well as all legal entities, all operating locations in all countries, and all business processes conducted by IEEE.

  • The Organising Team may arrange for photography and videography onsite throughout the event.  Any images may be used for post-event reports, case studies, marketing collateral and supplied to industry media if requested.  If you do not wish for your photo to be taken, please inform the photographer and move out of camera range. 

  • Registration fees do not include insurance.  It is strongly recommended that at the time you register for EMBC 2026 and book your travel you take out an insurance policy of your choice.  The policy should include:

    • Loss of fees/deposit through cancellation of your participation in the Conference or through cancellation of the Conference,
    • Loss of international/domestic air fares through cancellation for any reason,
    • Loss of tour monies through cancellation for any reason including airline or related services strikes within Australia,
    • Failure to utilise tours or pre-booked arrangements due to airline delay,
    • Force Majeure or any other reason,
    • Medical expenses (including sickness and accident cover),
    • Loss or damage to personal property,
    • Additional expenses and repatriation should travel arrangements have to be altered,
    • Medical expenses.

    The Conference Managers cannot take any responsibility for any participant failing to arrange their own insurance. This insurance is to be purchased in your country of origin

  • All international visitors must hold a valid passport. Depending on nationality, travellers may require a Temporary Resident Visa (TRV) or an Electronic Travel Authorization (eTA) to enter Canada.

    Canada Business Events Visa and eTA Step-by-Step Guide video is provided to assist delegates with the application process.

    EMBC 2026 has been registered with Immigration, Refugees and Citizenship Canada (IRCC). The Special Event Code will be provided once you complete your registration. Applicants are advised to reference this code when applying for a visa, as it may assist.
